Journey Health & Lifestyle—a leader in healthcare products for seniors—needed a solution to streamline their unique payment processing. Catering primarily to an older demographic, the company relies on a dual-channel approach: while many transactions occur online, a large percentage are handled manually via phone. Faced with the challenges of manual data entry and the complexities of installment payments, Journey Health partnered with Venn Technology to bridge their ERP and payment processing systems.

 

Challenge

Journey Health’s existing process was cumbersome. Their call center was manually processing orders in Acumatica, often requiring significant follow-up for installment-based purchases. This method not only slowed down the payment cycle but also complicated refund procedures—especially when customers opted for returns. In addition, the company sought a flexible approach that could accommodate split payments for high-ticket items while ensuring real-time reconciliation.

 

Solution

Venn Technology implemented its Stripe and Acumatica integration product that automates the entire payment lifecycle. The solution was designed to:

  • Seamlessly Sync Data: Automatically check for and create customer records in Stripe when an order is initiated in Acumatica, ensuring consistency across both systems.

  • Generate Dynamic Payment Links: On invoice creation, the integration triggers Stripe to produce a payment link. This link is then embedded in Acumatica, enabling Journey Health to send a digital invoice to customers via email or even on a PDF.

  • Automate Payment Reconciliation: Once a payment is made through Stripe, the charge is automatically recorded back in Acumatica, updating the invoice status and streamlining the reconciliation process.

 

How It Works

  1. Order Initiation in Acumatica: When a Journey representative creates an order (often after a phone call), Acumatica generates an invoice for the transaction.

  2. Stripe Customer Sync: The integration first checks whether the customer exists in Stripe. If not, it creates a new record, synchronizing identifiers between the systems.

  3. Payment Link Generation: For the initial invoice, a corresponding invoice is created in Stripe solely to generate a secure payment link. This link is then stored in a user-defined field in Acumatica.

  4. Customer Payment Flow: The payment link is shared with the customer—via email, embedded in a digital invoice, or even printed on paper. Customers then use this link to enter their payment details on a Stripe-hosted page.

  5. Automatic Charge and Record Update: Once the payment is processed, the charge information is sent back to Acumatica, where the payment is applied to the invoice. For installment plans, subsequent invoices can be set up with predefined due dates, allowing for auto-charging of the saved payment method.

 

Results

By automating the interaction between Acumatica and Stripe, Journey Health transformed its payment process. The new integration reduced manual intervention, accelerated the reconciliation of invoices, and provided the flexibility needed for installment billing. This seamless flow not only improves operational efficiency but also enhances the customer experience by offering quick, reliable payment options—even for high-ticket items.
